Creating fields within forms

A field is an individual area of the form where the author enters a single piece of information. On a service call form, for example, you might have one field for the customer's name, a second field for a description of the problem, a third field for the date you resolved the problem, and so on. The following graphic shows examples of fields.

You can use fields to sort through and find information in a set of pages. For example, suppose you have an order form that includes a field for the current date. If you wanted to find out how many customers generated order forms on June 8, you could go to the Index and arrange the order forms by date, thereby isolating the pages created on June 8.

The following table shows the types of fields you can add to a form.

Plain Text fieldUse a Plain Text field when you want to offer the creator of a page an area in which they can enter a single line of text that does not include special effects (for example, boldface or italics).
Text Area fieldUse a text area field when you want to offer the creator of a page an area in which they can enter multiple lines of text that does not include special effects.
Pop-Up List fieldUse a Pop-Up List field when you want to offer the creator of a page a list of items to choose from when entering information in that page.
Date Pop-Up fieldUse a Date Pop-Up field when you want the creator of a page to enter a date in a page.
Time Pop-Up fieldUse a Time Pop-Up field when you want the creator of a page to enter a time in a page. Page creators see areas in which they can type or select numbers representing hours and minutes and an area where they can select AM or PM. The time appears in the final page in the form HH:MM AM/PM.
Name Pop-Up fieldUse a Name Pop-Up field when you want to offer the creator of a page a list of QuickPlace members to choose from when entering information in that page. Use this option when you want to be able to monitor transactions with particular members.
Attachments fieldUse an Attachments field when you want to offer the creator of a page an area in which they can attach files.
Rich Text fieldUse a Rich Text field when you want to offer the creator of a page an area in which they can enter and format text in a variety of ways. In a Rich Text field, you can enter boldface, italic, and underlined text; text in different fonts, colors, and sizes; text that is aligned with the right or left margin or centered; list items preceded by bullets; indented text; headlines, both stationary and animated; images; and links to other pages.
Calendar Information fieldUse a Calendar Information field when you want the page creator to create the page as a calendar entry. The page creator sees fields in which he or she can specify the calendar date and time slot for the final page field.
Task fieldUse a Task field when you want the page creator to be able to assign the page to another member as a task. The page creator sees fields in which he or she can specify the person to whom the task is assigned, the due date of the task, the status of the task (complete or incomplete), and the editors of the task. You can also choose to show fields for defining the start date of the task and the task "category," for example, its priority (high, medium or low).
Notification Indicator fieldUse a Notification Indicator field when you want the page creator to be able to send email notifications to other members to alert them to the publication of the page without having to select Publish As and then the Notify option.
Non-Editable Rich Text fieldUse a Non-Editable Rich Text field when you need to add large amounts of text and/or graphic images to a form to explain its purpose -- or the purpose of a particular field in the form -- to the page creator
Page Author fieldUse a Page Author field when you want the name of the page creator to appear in the page. When someone creates a page using the form, QuickPlace automatically enters that person's name in the Page Author field; the page creator cannot edit or change this name in the page.
Creation Date fieldUse a Creation Date field when you want the date the page was created to appear in the page. QuickPlace automatically enters the creation date in the Creation Date field; the page creator cannot edit or change the date in the page.
Last Modified Date fieldUse a Last Modified Date field when you want the date the page was last modified to appear in the page. QuickPlace automatically enters the date in the Last Modified Date field; the page creator cannot edit or change the date in the page.
Page Size fieldUse a Page Size field when you want the size of the finished page to appear in the page. QuickPlace automatically enters the page size in Kbytes in the Page Size field; the page creator cannot edit or change the page size in the page.
Serial Number fieldUse a Serial Number field when you want to assign a unique number to each page.
