Using advanced search

The Advanced Search feature allows users to search within specific rooms or folders in a place, as well as search an entire place, or search all places. Users can search for information by author, date, or text, and sort their results according to the highest number of matches or according to the newest matches. They can search within pages, rooms, and folders, or broaden the scope of their search to include an entire place or all places of which they are a member. The Advanced Search feature is accessible by clicking Search in the table of contents.

"head and shoulders" Finds pages that contain the exact phrase "head and shoulders." For example, this entry would find a page that contained the text, "He stood head and shoulders above the rest of the crowd."
head*Finds pages that contain the words head and heading and any other word that begins with the letters "head."


Searching by room

Users can search for information in the room are currently visiting. For example, if they are in the Project Schedule room, they can search that room for any information containing the word "Architecture."

To search by room:

  1. Goto the room in your place that you want to search.
  2. Click Search in the table of contents of your place.
  3. In the field "Find pages in:", click the radio button "This room: name of current room."

    This field automatically defaults to the room that you were in before clicking Search in the table of contents. For example, if you are in the Project Schedule room and click Search in the table of contents, and then choose to search by room, the "Find pages in this room" field says: "This room: Project Schedule."
  4. (Optional) In the field "Search for:", you can choose to enter text, author, or date information about your search item.
  5. (Optional) In the field "Sort results by:", you can choose whether to sort your results by "Most matches," or "Newest first."
  6. Click Next to conduct your search, or click Back to cancel the search.


Searching by folder

Users can search for information in a specific folder of the room they are currently visiting. For example, if they are in the Project Schedule room, they can search for information in any folder in that room.

To search by folder:

  1. Goto the room in your place that you want to search.
  2. Click Search in the table of contents of your place.
  3. In the field "Find pages in:", click the radio button "Folder."
  4. In the drop down menu next to Folder:, choose the folder that you want to search.

    You will be able to choose from the folders that are in the room you were visiting when you clicked Search in the table of contents.
  5. (Optional) In the field "Search for:", you can choose to enter text, author, or date information about your search item.
  6. (Optional) In the field "Sort results by:", you can choose whether to sort your results by "Most matches," or "Newest first."
  7. Click Next to conduct your search, or click Back to cancel the search.


Searching the entire place

In addition to searching by room and folder, users can broaden their search to include the entire place. Users do not need to be in a particular room or folder in order to search the entire place.

To search the entire place:

  1. Click Search in the table of contents of your place.
  2. In the field "Find pages in:", click the radio button "This place."

    QuickPlace will search the entire place, based on the information you enter.
  3. (Optional) In the field "Search for:", you can choose to enter text, author, or date information about your search item.
  4. (Optional) In the field "Sort results by:", you can choose whether to sort your results by "Most matches" or "Newest first."
  5. Click Next to conduct your search, or click Back to cancel the search.


Searching All Places

Users can also search every place of which they are a member. Users do not need to be in a particular room or folder in order to search all of their places.

To search all places:

  1. Click Search in the Table of Contents.
  2. In the field "Find pages in:", click the radio button "All places."

    QuickPlace will search all places of which you are a member, based on the information you enter.
  3. (Optional) In the field "Search for:", you can choose to enter text, author, or date information about your search item.
  4. (Optional) In the "Sort results by:" field, you can choose whether to sort your results by "Most matches" or "Newest first."
  5. Click Next to conduct your search, or click Back to cancel the search.


Enabling and disabling Advanced Search If you have manager access, you can choose whether or not users see a link to Advanced Search in their place. To enable or disable the Advanced Search feature:

  1. Click Customize in the table of contents.
  2. Click Basics, Change Basics.
  3. Under Show/Hide, add or remove the checkmark next to "Advanced Search. Show a link to Advanced Search."
  4. Click Done.


Note If you remove the checkmark next to "Advanced Search," Search will not be visible in the table of contents for that place, and users will not be able to conduct any type of search in that place, including search all places.
